Absentee Labels: A quick guide
Step 1: From the Main Menu in the VAN got to create a New List.
Step 2: From Create a New List Choose the Absentee tab.
Step 3: Fill in the boxes with information. (Remember to exclude already voted.)
For label printing, choose to include only those voters who have requested an absentee and have not already voted, within the desired dates.
We do not receive the exact 'Mailed a Ballot From' date from the state, but their turnaround from receiving the request to mailing out the ballot is typically same day or next day.
Step 4: Go to the Suppressions Tab and Remove All Suppressions.
Step 5: Select Run Search and pull in your results.
Step 6: Choose labels from the menu on the list preview page.
Step 7: Fill in the Print Labels Page. Choose Label format: Virginia Absentee Addresses (Avery 5160 - 3 x 10).
Print one label per person.
Click on Domestic Absentee Addresses Only at the bottom of the screen.
Note for International Absentee Mailings: Please check for international or multi-line addresses that won't fit on the 5160 label. Return to this screen after running the 5160 labels. Choose Label format: Virginia Absentee Addresses (Avery 5263 - 2 x 5 or Avery 5385 - 2 x 8 depending on the label stock you're using). Print one label per address. Click on International Absentee Addresses only the bottom of the screen.
Step 7: After clicking Next, a PDF file for your labels is created.
Step 8: Follow the link to My PDF Files and Download
Step 9: Print your PDF file.
If you have to come back to your PDF later, it will be on your dashboard.
Clicking “Fit To Page” when you print your PDF will affect if they fit on the labels.
